CouldBeDown

For clubs and committees

Scheduling club and committee meetings for a group of a dozen

A club is a larger, steady group meeting on a loose rhythm. CouldBeDown lets an organizer find an evening most members share, keeps the members in a saved group so each new meeting invites them in one step, and shows upcoming and past plans on the group page.

A book club of nine

Nine invented members have marked a few evenings. With a bigger group the best slot rarely suits everyone, so watch how the heat shows near-misses. Add yourself as the tenth.

Best overlap

Best overlap: Thu 8 PM to 9 PM (9 of 10 free).

Example group: Ada, Bo, Cy, Di, Ed, Flo, Gus, Hal, Ivo, and you. Invented for this demo; nothing is saved.

A bigger group means near-misses, not perfect matches

With nine or twelve people, there is rarely a slot when literally everyone is free. What helps is seeing how close each option is: a slot with eight of ten free beats one with six. The heat overlay shows exactly that, so the organizer can choose the best realistic slot and then find out who cannot make it.

Saved groups and a group page

Members you have shared plans with appear in a friends list, and you can organize them into a named group for the club. Starting a plan from the group invites the whole membership in one step, and members are emailed when a new plan starts. The group page lists upcoming and past plans, so a member who missed the email can still find the current one.

Rotating hosts: one real limitation

Many clubs pass the organizing around. Anyone can start their own plan and share the link, but a saved group belongs to the person who created it. If three members take turns as host, each one currently builds their own copy of the member list, or one person stays the scheduler. Shared groups are not built yet, and we would rather tell you than let you find out mid-season.

Also remember that every member responds by signing in with Google, and a club with members who are not comfortable with that will struggle.

Who CouldBeDown is and isn't for

CouldBeDown is best for

  • Book clubs, hobby clubs and volunteer committees of about 6 to 20 members.
  • One organizer who schedules for everyone.
  • Clubs that meet on a flexible rhythm rather than a fixed slot.

Not the best fit when

  • You run public events open to anyone.
  • Hosts rotate and want a shared member list.
  • You need dues collection or membership management.

Frequently asked questions

How do I schedule a meeting for a large club?

Create a plan with a date range and evening window, share the link or invite your saved group, and read the heat overlay to find the slot with the most members free. Then propose it and see who answers going.

Will members be notified?

Yes. Members of a saved group are emailed when a new plan starts for their group, and when a time is proposed or confirmed. Text messages are marked as coming soon.

Can different members host different meetings?

Yes, anyone can start a plan. A saved group belongs to the person who created it, so each host has their own list for now.

Can I see previous meetings?

Yes. The group page lists upcoming and past plans for that group.

Does it work for public events?

No. It is built for known groups. Invitees open a private link and respond with their name.

Does it cost anything?

CouldBeDown is free to use right now.
